The Victorian Department of Business and Innovation engaged Hyro to redevelop their ageing intranet and build an effective online communication channel for their 750 employees.
Background
The Department of Business and Innovation (DBI) helps grow Victoria’s economy by providing strategic economic planning advice and business development assistance; encouraging investment and trade; and marketing Victoria throughout Australia and internationally.
The existing intranet was hard to navigate and perceived as adding little value to the business. Therefore employees were reluctant to use it, resulting in a significant missed opportunity for DBI management who wanted to use it as an effective employee communication channel.
The Solution
Working with DBI, Hyro identified several areas for improvement that included:
- Making it easier for users to find the information they wanted from the huge volume available
- Improving search and personalisation functionality
- Simplifying the process of integrating business applications for access from the Intranet
- Communicating with employees in an engaging way
A new intranet architecture was introduced to simplify management of applications by the IT department, while delivering a more cohesive user experience. Hyro’s IBM product specialist team designed, built and implemented the new intranet based on an array of Lotus software, including Web Content Management, Portal, Forms, Sametime, Omnifind and Quickr.
The Outcome
DBI achieved its goals with a stable and appealing intranet featuring an intuitive architecture. Powerful search functionality enables employees to find the documents and applications they need, faster. The new intranet also serves as an efficient communication channel for management to disseminate information to department employees – and acts as a vibrant working space providing all staff with an effective communication channel and a single source of definitive information.
